Information for Presenters
Speakers Preparation Room
Plenary Speakers are allocated 30 minutes including 5 minutes question and answer time. Invited Parallel Speakers are allocated 25 minutes including 5 minutes question and answer time and selected Parallel Speakers are allocated 15 minutes including 3 minutes question and answer time.
The speaker preparation room is located in Room L1A on the Plaza Level, near the plenary hall (Hall L).
A computerized slide centre system manages all presentations contained in the scientific programme through a central network. The speaker preparation room is available to collect your presentations from the following times:
Sunday, 11 September 15:00 – 18:00
Monday 12 September 07:30 – 17:30
Tuesday 13 September 07:30 – 17:30
Wednesday 14 September 07:30 – 10:30
Thursday 15 September 07:30 – 17:30
Friday 16 September 07:30 – 12:30
You will be briefed on how to use the system when you meet with the audio visual technicians. Presenters speaking on the first day of the program should visit the Speaker Preparation Room as soon as possible upon arrival. It is not possible to use personal laptops at the podium.
We strongly suggest using PDF as the preferred presentation method, but if you wish to provide a PowerPoint presentation (Windows or Mac) you will need to run through your presentation in the Speaker Preparation Room to ensure your presentation is correctly formatted.
Please note: Standard PowerPoint Presentations need to be adjusted to fit the projector to avoid black edges on your PowerPoint slides. Please ensure your PowerPoint Presentations are in 16:9 and not 4:3.
Presentations on a USB memory stick or personal laptop must be delivered to the speaker presentation room preferably the day before, but no later than 2 hours before the beginning of the session. If you would like to email your presentation email it to : SpeakerSupport@avmc.com.au. This must be clearly labelled in the subject : dd/mm/yy – name of event – room – time in 24 hr – surname of presenter. There is a 20 mb limit per email. This timing allows for a smooth upload of presentations and a swift transition to the assigned meeting rooms.
There will be two poster sessions. The first one will be held on the afternoon of Monday, 12 September from 16:50 to 18:00 and refreshments will be provided.
Maximum poster size is A0 (1189 x 841 mm / 46.8 x 33.1 in). Your poster can be printed landscape or portrait. The poster boards will be available for you to put up your poster on Sunday when you register. You will be given adhesive material to hang your poster along with a poster number in your registration pack. Please find the corresponding number on the poster board and place your poster here.
The second session will be held on Thursday, 15 September from 16:50 to 18:00. Light refreshments will be provided.
Poster presenters will need to stand by their posters for at least the first half hour of both poster sessions.
Posters must be removed by 13:30 on Friday, 16 September.
